Hospital Management Software

Our Hospital Management Software (HMS) streamlines patient care, staff management, billing, and reporting — ensuring smooth operations and improved healthcare delivery.

One patient record, from the front desk to discharge

It is 7:40 on a Monday morning in a 90-bed hospital. The outpatient hall is filling up, the records officer is hunting for a card folder last seen in the lab, and the HMO desk is on hold chasing a pre-authorisation code. By evening, two bills will be disputed because pharmacy charges never made it onto the invoice. Nobody did anything wrong. The paper simply could not keep up.

WebMotion HQ's Hospital Management Software puts the whole hospital on one system. A patient is registered once, receives a unique ID, and everything that follows — consultation notes, lab results, drugs dispensed, bed days, theatre time — attaches to that record. The bill at discharge reflects what actually happened, and the HMO claim is built from the same data, not reconstructed from memory at month end.

We are a software and IT company with offices in Lagos and Edinburgh. Across twelve years and more than 250 client projects, we have learned that hospital software succeeds or fails at the nursing station, not in the boardroom. So the system is built around how Nigerian hospitals actually run: NHIA and HMO patients alongside cash-and-carry, deposits and part-payments in Naira, and days when neither power nor internet can be taken for granted.

Who it is for

Private hospitals from roughly 20 to 300 beds, multi-specialist and diagnostic centres, mission hospitals, and clinic groups running several branches. Smaller clinics can start with registration and billing and add modules as they grow; larger facilities should contact us directly.

Key modules

Patient registration and medical records (EMR/EHR)

  • Register once: unique patient ID, biodata, next of kin, payment class (cash, HMO, NHIA, corporate)
  • Full electronic medical record: history, allergies flagged on every screen, visit notes, diagnoses and prescriptions
  • Past visits, lab results and imaging reports in one chronological view

Outpatient and appointments

  • Appointment booking by clinic, doctor and time slot, with SMS and email reminders to cut no-shows
  • OPD queue management — patients called in order, and each doctor sees who is waiting and for how long

Admissions, wards and theatre

  • Ward and bed management with a live bed board: occupied, reserved, cleaning, free
  • Nursing station views for vitals, drug administration and shift handover notes
  • Operation theatre scheduling with surgeon, anaesthetist and equipment assignments
  • A discharge workflow that closes the clinical record and the bill together

Pharmacy and drug inventory

  • Dispensing linked directly to prescriptions, so nothing leaves the shelf without a record
  • Batch and expiry tracking, reorder-level alerts and stock control across multiple stores

Laboratory, radiology and blood bank

  • Pathology test orders, sample tracking from collection to result, results posted straight into the patient record
  • Radiology and diagnostic imaging order and report management
  • Blood bank management: donor records, screening status, stock by blood group, issue logs

Billing, payments and HMO/NHIA claims

  • Itemised bills across consultation, laboratory, pharmacy, procedures and bed days, with deposits and part-payments
  • Per-scheme tariffs for each HMO and for NHIA, pre-authorisation capture, and claims tracking from submission to settlement
  • Patient-payable and scheme-payable amounts kept separate, so shortfalls are visible before discharge, not after

Portals, people and communication

  • Doctor portal for schedules, patient lists and results review; patient portal for booking appointments and viewing results online
  • Staff and HR records with duty rosters, plus ambulance management with driver assignment and trip logs
  • SMS and email notifications for appointments, results and receipts across every department

Reporting, security and compliance

  • Reports on revenue by department, patient volume, outstanding HMO claims and drug consumption
  • Role-based permissions: a cashier, a nurse and a lab scientist each see only what their work requires
  • Full audit trail of who viewed or changed any record, encrypted data, and controls aligned with the Nigeria Data Protection Act (NDPA)

How it works

Hospitals do not switch systems overnight, and we do not ask them to. Rollouts run in phases:

  • Phase 1 — setup and front office. We map your workflows, load tariffs, HMO plans, drug lists and ward layouts, migrate existing patient records, and go live with registration, appointments and billing.
  • Phase 2 — clinical. EMR, pharmacy, laboratory and radiology come online, with hands-on training for doctors, nurses and lab staff.
  • Phase 3 — wards and claims. Admissions, theatre, blood bank, HMO claims tracking and the patient portal complete the rollout, with our team on call through stabilisation.

The system runs on a server inside the hospital, in the cloud, or both — so registration and billing keep working through a bad internet day and sync when the connection returns.

Why hospitals choose it

Revenue stops leaking. When every chargeable item posts to the bill at the point of service, the gap between services rendered and services billed closes. For most hospitals this is where the system pays for itself.

The HMO desk gets its evenings back. Claims are assembled from tariffed, pre-authorised line items as care happens, not rebuilt from folders at month end.

It is built for this environment. Naira billing, NHIA and HMO schemes, part-payments, offline-tolerant deployment, and a Lagos support team that understands what a power cut during ward rounds means.

One honest note: software will not fix a process that was never defined. If your tariff list is outdated or the drug store has not been counted in a year, go-live will expose it, and the first weeks can feel slower before they get faster. We plan for that — the Phase 1 workflow review exists so the system matches how your hospital works before go-live.

See it handle your own scenarios

If your patient records, pharmacy stock and HMO claims live in three separate places, you are paying for the gaps every day — in disputed bills, expired stock and rejected claims. The quickest way to judge fit is to watch it run your cases: a cash patient paying a deposit, an NHIA enrollee needing pre-authorisation, an admission that moves through lab, theatre and pharmacy.
